Count activities as well as people

A headcount alone cannot set the workplace plan. Record the frequency of private calls, confidential meetings, collaborative work and visits. Ask which activities are disrupted in the current office and which spaces are regularly empty. Translate these observations into a mix of settings, then test it against peak attendance. Do not assume every team shares the same pattern. A sales group, a design team and a finance team may need quite different relationships between desks and enclosed rooms.

Review a meeting room as a complete system

Agree participant numbers, video calls, screen position, camera view, acoustics and power together. A room can look generous on plan yet fail when a chair blocks circulation or the camera cannot see everyone. Include the technology team in layout reviews and test furniture against the actual equipment. Before moving, prepare user guidance and a clear route for reporting defects so the workplace is usable from the first week.
